Invoices
Past sessions to confirm
These sessions have happened but are still booked, so no invoice has been raised for them. Confirm each one that took place.
Banking & reconciliation
Import a bank statement (CSV) and match payments received to your invoices. The file is read on this device — nothing is uploaded. Currency and date format follow your practice country (set in Your practice details).
Payments received
Still outstanding
No statement imported yet. Export a CSV from your online banking, then import it here.
Which banks work?
Most CSV exports work automatically. In the UK that includes Monzo, Starling, Barclays, HSBC, Lloyds, Halifax, NatWest, Santander, Nationwide and Revolut. In the US: Chase, Bank of America, Wells Fargo, Citi, Capital One and Amex. If a layout isn't recognised, you'll be asked to point us at the date, description and amount columns. Reconciliation matches by amount and a name in the payment reference. Always confirm each match before you mark an invoice paid.

Income & tax year
The UK tax year runs from 6 April to 5 April. Received counts income when you were paid (the cash basis). Invoiced counts it when you raised the invoice (the traditional, or accruals, basis). Most sole traders use the cash basis. This covers invoices created here only. It doesn’t include expenses, or income you haven’t invoiced in the app. So it’s a starting point for you and your accountant, not tax advice.
Your practice details
Sets your currency and date format across invoices, the calendar and banking.
Availability
Your usual working days and hours. The diary uses this to guide bookings.
Working daysSession types & rates
Used when booking a session — picking a type sets the fee and the invoice description (e.g. EMDR, person-centred, missed appointment <24h).
Email wording
The words in each email the app opens for you to send. Words in braces, such as {client first name}, are filled in for each client when you send. Invoices are not here.
Subject access requests
Open requests across all your clients. Each one is recorded on the client's record in Records.
Data protection
Are you a registered health professional under the Data Protection Act 2018? For example, HCPC-registered. Most counsellors and psychotherapists are not.
Your answer changes which tips are shown on clients' subject access requests. The Data Protection Act 2018 lists who counts as a health professional (for example, HCPC-registered professions); most counsellors and psychotherapists aren't on it.
Tip: if a client returns a form by email, consider deleting the email copy once it's uploaded here.

Data encryption
Encrypt every record on this device with a passphrase (standard AES-256-GCM encryption). You'll enter it to open the app, and to take or restore a backup. Four random words are suggested below. They're far harder to guess than one clever word, and easier to type. Words of your own work too.
There is no recovery. If you forget it, the data on this device and every backup you have taken are permanently unreadable. Nobody can recover them.
Words from the EFF Large Wordlist (CC BY 4.0)
Tip: write it down and keep it somewhere safe, away from this device. If it's lost, the records can't be recovered.

Stronger encryption is ready for this device
It gives this device a new, random key and a much slower lock to guess against, and rewrites every record with them. It takes about a minute, and nothing is lost if it's interrupted.
Tip: a quiet moment, with no session running and only this window open, suits it best.
Using the app, including a live video call, keeps it unlocked.
Passkey unlock
Off on this device.
Forgotten your passphrase?
Nothing can open this device without it. Resetting erases everything here and starts again. Restore a backup afterwards if you have one. You will need the passphrase that was set when you took it. Your passphrase is never sent to us or stored on our servers. Keep your own record of it.
When a client is waiting
A notification from your device, even while you're in another app. It works only while Therapywork is open on this device: nothing is sent from a server.
Notifications can appear on your lock screen, where others may see them.
Import from WriteUpp
Bring your client list and appointment history across from a WriteUpp export. Nothing is imported until you confirm the preview. The files are read on this device — nothing is uploaded.
No files chosen yet.
Import a client file (.zip)
Import everything for one client — their notes, forms and appointments — from the .zip you downloaded from WriteUpp. If this client isn't in Therapywork yet, they'll be created for you.
No file chosen yet.
Note tags
Tag clinical notes to find them again — in a client's notes, or across your caseload with Notes. Renaming a tag renames it on every note. A tag can only be deleted once no note uses it.

Checking…
Your key is not in your backups — it belongs to this device, not to your records. Copy it somewhere safe while this device works; it is also in the receipt email for every payment.
